Book stock is what the records say should be in the yard: opening stock, plus receipts, minus dispatches. Physical stock is what is actually there. Reconciliation is comparing the two and explaining the difference.
Some gap is normal with coal. Moisture changes, handling losses, dust and weighment differences all move the physical figure away from the book. Other gaps point to a recording problem: a receipt or dispatch not entered, entered twice, entered in the wrong yard, or entered with the wrong weight.
Measuring a coal heap is itself an estimate — by volume and an assumed density, or by weighing out — so small differences should be read as ranges, not exact figures.

Keeping stock by lot — each receipt with its own identity, quantity and quality — makes reconciliation far easier: you can see which lot the gap sits in, rather than one total that doesn't match.
Blending, transfers between yards and quality re-tests all change what a lot contains. Each needs its own entry, or the book stock and the heap slowly drift apart.
Common confusion
A stock difference is not automatically a loss or a theft. Check unrecorded movements and moisture first — most gaps are recording gaps.
What it means if you trade coal
Reconcile on a fixed rhythm, yard by yard, and look at movements before blaming the heap. A monthly gap you can explain is fine; a growing one you can't is the warning sign.
