COAL BOSS ("we", "us", "our") respects your privacy. This Privacy Policy explains how we collect, use, store and protect your information when you use our platform and services.

1. Information We Collect

  • Account information: name, email, phone number, company name and role.
  • Business data: the transactions, masters, stock, dispatch, finance and operational records you enter into the platform.
  • Usage data: device, browser, access logs and interaction data for security and improvement.
  • Website enquiries: the details you submit through our website forms (name, company, email, phone, business type and message, or your email address for updates) are sent to our team by email so we can respond to you. They pass through our email delivery provider (Resend) and are checked for spam by Google reCAPTCHA; these providers process them only to deliver and protect the enquiry. Only one way to reply (phone or email) is required; suggestions and industry insights can be sent without any contact details. Each enquiry also carries how your visit started (the campaign or referral tag in the link you followed, if any, and the first page you opened). If — and only if — you tick the box offered in the form, it also includes which pages of this website and which Ask Coal Boss topics you looked at during that visit; never the words you typed.
  • Translation feedback: if you report a wording problem on a translated page, we receive the language, the page, the kind of problem and any words you choose to type — no name or contact details. It is sent to our team by email in the same way.
  • Ask Coal Boss: your conversation is kept only in your own browser tab for that visit, so it survives moving between pages; it is not stored by us. Answers come from text written by our team. If an AI answer service is switched on in future, this policy will say so first.
  • Website analytics: only if you allow it, Google Analytics records how the website is used, without your name, email, phone or form entries. See our Cookie Policy.

2. How We Use Your Information

  • To provide, operate and improve the COAL BOSS platform.
  • To provide customer support and implementation services.
  • To respond to enquiries sent through our website and, with consent, to improve the website.
  • To send important account, security and service notifications.
  • To comply with applicable legal obligations.

2a. Newsletter and Updates

If you give us your email address through the newsletter form on this website, it is sent to our team by email so that someone can follow up with you. There is no mailing list at present and no automatic or scheduled emails are sent from this website. We do not sell your address and we do not share it for advertising. If you want to know what we hold or would like your address removed, write to us through the contact form or at info@coalboss.com and we will act on your request; we have not set a fixed retention period for addresses given this way, and we will not claim one until we have.

These emails, and the replies to enquiries you send us, are delivered through a third-party email service provider that processes the address on our behalf for that purpose only.

3. Data Ownership

Your business data remains your data. We do not sell customer data. We do not disclose your business information to any third party without your authorization, except where required by applicable law.

4. Data Security

We use encryption in transit, role-based access controls, audit logging and managed cloud infrastructure to protect your data. A written backup and restore procedure is maintained and its restore steps are tested; ask us for the current backup arrangement, and you can export your business data at any time. No digital platform can guarantee absolute security, and we do not claim certification to any particular standard; we apply reasonable security practices and improve them over time.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Upon account termination, you may request export or deletion of your business data subject to legal obligations.
