Why generic ERP software fails the coal industry — and what to do about it

Every year, coal businesses across India invest in ERP software hoping to streamline operations. Most end up disappointed. The software works for manufacturing or retail, but it does not understand coal.

Here is the fundamental problem: coal is not a standard commodity. It has grades, GCV ranges, ash percentages, moisture content and volatile matter. A generic ERP treats coal like any other inventory item — it tracks quantity and price but ignores the parameters that determine actual value.

Consider the typical coal business workflow. You buy coal at a specific GCV from a mine or auction. The coal is transported by road or rail to your yard. At the yard, it is weighed, sampled and graded. It may be blended with other grades to meet customer specifications. Then it is dispatched to the buyer, generating a dispatch slip, e-way bill and invoice with complex tax calculations.

A generic ERP cannot handle any of this natively. It does not know what a GCV is. It cannot calculate royalty, DMF or NMET. It has no concept of rake allocation, wagon-wise loading or weighbridge integration. It cannot track stock by grade across multiple yards with transit visibility.

The result is predictable. Teams maintain the ERP for accounting and compliance, but continue running actual operations on Excel sheets, WhatsApp groups and manual registers. The ERP becomes an expensive data entry exercise rather than an operational tool.

The solution is not to customise a generic ERP until it sort of works. The solution is to use software that was built for coal from day one — software that speaks the language of the industry and mirrors the workflows that coal professionals already follow.

When evaluating technology for your coal business, ask these questions: Does it handle coal grades and quality parameters natively? Does it support multi-yard stock with grade-wise tracking? Does it manage dispatch with weighbridge integration? Does it calculate royalty and statutory charges automatically? Does it understand rake logistics? If the answer to any of these is no, the software was not built for you.
